Email a filtered table to user

Hi

I hope someone can help

I have a PBI report which pulls data from a sharepoint list into a table. The report has filters for the user to drill down to the information in the table which they find relevant.

What I would like is a button on the PBI report which emails a copy of the filtered table to the user so they can store in their documentation

Is there a wayto do this? Assume its a power automte button?

Hi @Matt22365, you're completely right. Power Automate button is a right solution for your case.

This video helps with pulling specific data from a dataset and sending an email. However what I would like to do is email a copy of the onscreen visual to the user. in this case a table which has been filtered using dropdowns

Could this be done?

Hi @Matt22365, thanks for the clarifiaciton. As of my knowledge you can't automatically send a screenshot of a signle visual via email.

 

You can use email subscription, but it will send a sreenshot of a whole report to a user. Keep in mind that you'll need to share an access to the report with a user and a receiver should have Power BI Pro licence (for reports created in non-Premium workspaces).


With email subscription you can include your changes (aka. apllied filters) to a new subsription:

Im not sure the subscription will work for my needs unfortunately.

Im not tied to it having to be an email. The idea is that the user can keep a permenant record of the filtered table.

If there is a way to transfer this filtered data into another system (powerpoint, excel etc...) that is automatically saved to the users computer then this could work

Hi @Matt22365, you might try use sharing to Power Point as it allows you easily and quickly bring a single visual to PowerPoint. I tested it and my data in PowerPoint remained not updated until I clicked on refresh directly in PowerPoint:

However, at this point, I don't think this solution would win over simple screnshot take in "Snip&Sketch" 🙂

@Sergii24 , thank you.  That is indeed a capable option.  The Guy In the Cube video on the topic staring the one and only Patrick is an equally great introduction to the visual.  It is perplexing that this particular visual with so many options is not higher on folks radar. 

I think the reason of it is hiding in the fact that Power Automate visual is much more about Power Automate itself rather than PowerBI. From PowerBI perspective you only need to add a visual to the report and provide an input. However, the logic of the flow itself should be developed completely in Power Automate and has nothing in common with PowerBI.

 

I personally find Reza Dorani's videos on Power Automate extremely useful! He has this great playlist but my personal best is this signle video that has so many hints on writing expressions in Power Automate!
