Button for confirming data was validated by someone

Hello,

 

Saw a similar question posted over a year ago with no responses. Hoping people can provide insights here.

 

I have a report generated in PBI by exporting the data from a SharePoint list. On a weekly/monthly basis the information from that list needs to be reviewed and marked as validated.

 

Is there any way of creating a button or field that the user clicks which PBI can then stamp with the user name and date they validated the data? I am trying to create a historical record to show that someone has validated the data on a weekly/monthly frequency.

 

Is this even possible?

What you probably want to be doing instead of exporting like you are is just connect to it directly in SharePoint. There's a visual for Power Automate in Power BI that will let you select rows in the table and click a button to perform some action - so you could have it set a field in the list to "validated" if you want to, but honestly they should just be setting a "validated" field in the SP list itself unless you have some particular reason to want to do it via the report. The user experience is quit a bit better directly from the list. The Power Automate visual is half-baked... like it'll technically work, but you don't get a status indicator of whether the flow ran and SharePoint doesn't support direct query, so it won't update in the report until next refresh.

What I am trying to accomplish is for someone else to go in and validate any new items that have been added to a particular SP list without having to click on each individual item.
There could be over 120 items in the list at times. So having the report generated a summary of what has changed and then allowing that person to click a single button that says they have validated the data.
We are trying to automate the process to avoid having to send emails saying they have completed validation.

We are able to set the automatic refresh for a daily recurrence so having the data available is not a concern.

If your report user filters for the required rows, and the filter is impacting the Power Automate visual then the  entire filtered resultset will be transferred to Power Automate.  No need for checkboxes or clicking individual items.

Beware that there is no feedback whatsoever.  All it says "flow has been requested".  Nothing is preventing the user from smashing that button repeatedly etc.

 

That's the thing though - you can do this directly via the list. Just make sure the columns that people need to review are added to the list view. You can create a view that is sorted by modified date or whatever, with whatever filters you want (e.g. validated = no), and people can edit directly in bulk edit mode as if it were an Excel sheet or similar. The UX will be 200% better than trying to do it via Power BI, trust me on this-- 

I will look into this solution. However, generating a report is required to provide to a VP.

(no endorsement) there are third party visuals that promise row level data write-back.  Proceed with caution.

Yes, it is possible with PowerApps or with third party visuals. No, the user experience will not be good.  Consider using your sharepoint list instead for direct updates.
