Building a calendar to trigger outlook emails

Team-- How do I maintin a master-sharepoint file for a calendar in excel but allow users to view in power BI? I am below beginner level.

In addition.. how do I set to trigger an outlook box email once they clicking on a certain date to request time off with a standard subject and screenshot paste to the body of the email? ? ?
