Sharing a report with free/external users?

Hello,

I have a situation I am not sure how to resolve. So, I am currently a free Desktop user of Power BI. I have created a Power BI report for some data my organizations works with, but the data is sensitive, so users that view it need to log in or otherwise be approved users to see it. Basically, it can't just be embedded into a public website. We use Sharepoint and Teams within my organization, but the users we need to share it with are external to our organization and do not necesarily have microsoft accounts - they might have google accounts or some other system that isn't microsfot.

What is the best way to give 20-30 people access to a report I have created without requiring them to have microsoft accounts, while still controlling who has access / viewing priveleges? If needed, I am able to upgrade my own account to a Pro license.

Thanks y'all!

    1) Create premium workspace -->If you have a workspace of premium capacity then you can go with sharing the confidential information without having to purchase pro license for every individual ....coming to your second point of outside organisation client for this you will have to add the client as guest in AAD(Azure Active Directory)

    2) Publish to Web-->once you are done with publishing report to power bi service then you can publish to web which will generate a link and this link can be accessible to any user worldwide if they recieve the link....since your information is confidentail i would suggest not to go with this option

Hope it resolves your issue? Please consider accepting it as the solution to help the other members find it more quickly.

Appreciate your Kudos, Press the thumbs up button!!👍

  • Hi Anonymous ,

The basic rule is that if you want to see a PowerPoint BI report,  you have to a license.  The way around that is to embed the report (which you mentioned you can't do).  A license has to be assigned to a user for then to see the report.

I would appreciate Kudos if my response was helpful. I would also appreciate it if you would Mark this As a Solution if it solved the problem. Thanks!

      Hi collinq ,

Ok, so I need to figure out a way to embed it somewhere that the users I want to share it with can have access to it. Thank you!
