Only allow export for Summarized Data (not current or underlying data)

Hi All,

I'm wondering if anyone knows how to only allow end users to download the "Summarized Data".

Here I have "Underlying Data" Greyed out properly, but "Current Layout" is still an option.

In PBI Services, there is no option to just include summarized data.

In PBI Desktop Options, there is no mention of the 'Current Layout" Under Export options.

Thank you!

Anonymous No option that I am aware of. You could post to Ideas. I believe the thinking is that if you are willing to show people the data then you wouldn't generally not want them to be able to download it. Curious as to the use case.

      Thanks Greg_Deckler

The use case is end users filter their data and download an Excel sheet.

      • From there, they need to be able to possibly enter different values in the "Factor" and "Min Qty" columns below.
        • I put the Excel formulas as strings in the last three columns below, so that when they download the data, the formulas would change the values based on their changed variables.
        • The "Current Layout" option has the downloaded dataset starting on row 1, while the "Summarized" Has the users slicers up top, so the dataset starts on row 3, which would effect which rows I put in for the formula strings. I don't want users to accidentally download the export which would change which rows are being referenced.

My use case would be to only allow users to export using "current layout" and not the "summarized data". I believe there is not an option for that at this time, please confirm. Thanks!

  • Hi Anonymous ,

Sorry, no such option is provided in the report settings on either Desktop or Service.

At present, if the export of summary data is enabled, the export of the current layout data will be enabled by default, which is a bit similar to that when the export of the underlying data is enabled, the export of summary data will be enabled by default.

If you have any other suggestions on improvements for Power BI and Excel, please submit an idea.

My use case is to export all data under the summarized option only. However, in my report, I am showing the top N option.
