QnA Synonym sharing doesn't work

Hi everyone,

I created a dashboard 1 with measures and added synonyms for measures in QnA. I also enabled synonym sharing with my organization. When I create a new dashboard (dashboard 2) with same measure names, I can see synonyms from my dashboard 1 being suggested. However, when my coworker in his dashboard number 3 creates measures with the same name, he doesn't see synonyms from dashboard 1 or dashboard 2. When I publish a copy of dashboard 3, then I can see some dashboard 3 synonyms in dashboard 1 and 2. Can someone please tell me how can I share synonyms wityh my coworkers or does it only works for my dashboards because of cache?

    kalmukhamets ,

Thank you for clarifying. If Dashboard is built on completely different dataset than Dashboard 1, it should not show synonyms from Dashboard 1. Synonyms in Power BI are always tied to the dataset, not the dashboard or workspace. If you are still seeing synonyms from Dashboard in Dashboard 2, this is almost certainly due to local cache on your browser or Power BI session.

    few things you can try:

    1. Sign out of Power BI, clear your browser cache, and sign back in. Alternatively, try accessing Power BI from an incognito/private browser window to see if the issue persists.
    2. Double-check that Dashboard is 100% using different dataset. Sometimes datasets with similar names can be confusing.
    3. Ask your coworker to do the same steps on their own machine and compare results.
    4. In the Power BI Admin Portal, under Tenant Settings, check the options related to Q&A Synonyms and Data Type Discovery. Make sure there are no organization-level settings forcing certain behaviors.
    5. If the problem continues after all these checks (especially across different browsers and devices), it could be rare bug or service-side cache issue. In that case, opening Microsoft support ticket with your findings would be the best next step.

Let me know what you find after these steps or if you need more detailed guidance on tenant settings.

  • Hi kalmukhamets ,

You've explained your scenario very clearly, thanks for that. This is common confusion with QnA synonyms in Power BI. Synonym sharing usually works within your own workspace and for dashboards you own. If you enabled organization-wide synonym sharing but your coworker still can't see them, here are few things to check and try:

    1. Synonym sharing scope: Even if you enable synonym sharing, the feature might only propagate to dashboards/tables in your workspace or ones you own. It doesn't always push those synonyms automatically to dashboards created by other users in their own workspace.

    2. Dataset ownership: Synonyms are tied to the dataset/model. If your coworker is creating dashboard from different dataset, even with the same measure names, it won't pick up your synonyms. Make sure both of you are using dashboards connected to the same underlying dataset.

    3. Publishing vs. copying: When you publish copy of dashboard, Power BI may cache or embed the synonyms, which is why you see them after copying. But if your coworker creates new dashboard from scratch, those cached synonyms aren't available unless the dataset (with its synonyms) is shared too.

    4. Cache: Sometimes, Power BI caches synonyms and QnA results per user/session. That explains why you see them but your coworker doesn't.

    What you can do:

    • Make sure the dataset (not just the dashboard) is shared with your coworkers, and that they build their dashboards from that shared dataset.
    • Confirm that your coworker has access to the same workspace and dataset where the synonyms were defined.
    • If you want organization-wide synonym sharing, check your Power BI tenant admin settings, as some features have to be enabled by the admin to work across the whole org, not just your workspace.
    • Ask your coworker to refresh the browser or clear Power BI cache to see if the synonyms appear.

Example Scenario: Let’s say you have dataset called “SalesData”, and you add synonyms like “Revenue” for the measure “Total Sales.” You build Dashboard and Dashboard from this dataset, and you see the synonyms in both.
If your coworker builds Dashboard from another dataset (even if the measure names are identical), they won’t see your synonyms. But if you both use the same shared dataset “SalesData,” the synonyms should appear for both of you—provided all sharing and permissions are correct.

If you provide more detail about how you and your coworker are accessing/creating dashboards and datasets (shared workspace, same dataset, separate workspaces, etc.), can give more targeted advice.

      Hi burakkaragoz

Thanks for your reply! Dashboard 2 has a completely irrelevant dataset to Dashboard 1 and still sees synonyms from Dashboard 1. All three dashboards are published in the same workspace. Me and my coworker both have same member priveleges to the workspace. Dashbaord 3 has a completely different dataset from other dashboards. From your reply I think that dashbaord 3 shouldn't see synonyms from dashbaord 1, but I see them becasue of cache right? Also, what settings should I enable in power bi service settings?
