access denied to dataflow Gen-1

Hi,

I am new to fabric platform. Recently we created a sharepoint (me and my manager) ,where we save out .csv file and import the file from here to dataflow in fabric platform. Recently I have created one datflow (Gen-1) and my source is from this shared sharepoint. and that datflow has been created in my organization workspace where everyone has admin access (me and my manager). But unfortunately my manager is not able to access the dataflow that I have created.
not able to find out the root cause for this. the moment he clicked on the 'Edit' sign he is getting a permission errro. why? Can anyone help me with this?

Thanks in advance
B

  • Hi BarnanaD

I replicated your scenario. I'm also gettignt the same error

Upon reaseacrh I goit to know that, only the user who created the dataflow can edit it. Workspace admins can manage the dataflow but can't edit its queries or tabl;es.  Please go thodugh this docs Security roles and permission levels in standard dataflows - Power Query | Microsoft Learn it might helps you.

I recommedn you to use Datflowgen2 if it allowed by your organsiation.

    Hope this helps you

    Thank you!!

  • Hi BarnanaD,

suparnababu8 is correct, only the users who "own" the dataflow gen 1 can edit them.

Also note that dataflow gen 1 is actively being deprecated by Microsoft. I would recommend you move to dataflow gen 2 and storing data in a lakehouse.

  • Hi BarnanaD,

This is a common Gen-1 dataflow ownership issue in Microsoft Fabric. Here is what is happening and how to fix it.

Gen-1 dataflows in Fabric inherit the credentials of the person who created them. Even in a workspace where everyone has Admin access, the dataflow's connection credentials are tied to the creator's identity. When your manager clicks Edit, Fabric tries to use his credentials to authenticate the SharePoint connection, and it fails because those credentials were never set up under his account.

To fix this issue i would suggest

First, check the dataflow connection settings. Open the dataflow, go to Data source credentials, and see whose account is listed. It will show your account.

To give your manager true edit access, one of two things needs to happen.

Option 1: You take ownership transfer. Go to the workspace, find the dataflow, click the three-dot menu, and look for "Take over." This reassigns ownership to whoever clicks it. Once your manager takes over, he sets his own credentials.

Option 2: You configure the dataflow to use a service principal or shared organizational account for the SharePoint connection rather than a personal account. This is the cleaner long-term fix, especially if others will need to maintain this dataflow.

Gen-2 dataflows handle credential delegation differently and are less prone to this. Gen-1 is tightly coupled to the creator's identity. If your organization plans to share dataflows across team members, migrating to Gen-2 or using a service account for the SharePoint source connection is worth the effort now rather than later.

    Thank you!
